'Arewedoing has default fields for contacts and accounts that are used throughout the application. In Contacts for example, each contact has a number of fields such as Name, Last Name, Email, Mobile, etc. ...
These fields are common to many sectors and business models, but there may be others that are not so common and need to be created for your company because of its sector. This can be done from the fields and values tab where the fields of the application can be set according to your needs.
Using Accounts as an example we can see that some default fields are displayed, as seen in the image:
However if a fields needs to be added, for example the contact language, the following steps should be followed:
1. Select the entity being worked on. In this case Contacts.
2. Go to the bottom of the page and click on the “Add New Field” button and give it a name. In this case Language, and click on OK.
3. By default, the screen moves directly to the field you just created so that you can assign formatting options. Choose the type of field it is: Text, Number or Date. Depending on the option chosen, the second dropdown will display one set of options or another. The options are:
1. Text:
a. Text: when the field required is for a short text.
b. Text Area: for a field that is larger than the previous one, for example a field for a description.
c. Link: for a URL, for example to a web page.
d. Email: for an email field. If you select this type of field the system checks that the entered address is valid, i.e. nombre@empesa.dominio, e.g. mcano@arewedoing.com.
e. Phone: to indicate a phone number, if a calling software is available or it is accessed from a smartphone, the number can be called by simply clicking on it.
f. Selection: to create a selection field with different options (dropdown menu), use this option. For example to create the list of languages a contact may speak, click the button to create a list of items to appear in the dropdown menu, in our case the possible languages.
2. Number:
a. Decimal: when the number may contain decimals.
b. Full: when a number without decimals is needed.
c. Checkbox: This option lets you create a selection field that allows you to select it by clicking the mouse, for example when quick selection is needed in order to know which users should receive company news via email (newsletter)
3. Date:
a. Date: to indicate that the field is a date
b. Since: to establish that the data marks a starting point
Therefore, for this example option 1-f is chosen (Text, then Selection). Below the selection field a list button will appear, which when pressed generates a window where the items of the list can be entered.
Once the necessary fields are created click on “Save” to save the list.
To change the order the accounts or contacts fields, simply click and drag the row you want to move and place it wherever you like.
Lastly, Click on “Save” in the lower right hand corner to save all changes.
